Everything You Need to Know About Booking and Using Our Services

We handle the heavy lifting from start to finish. Our professional crew delivers all party rentals directly to your venue in San Jose or anywhere in the Bay Area. We set up everything exactly where you want it—from heavy tents to individual chairs—and return to break it all down once your event ends. You won’t have to lift a single chair or tent pole; just show up and enjoy your celebration.

For peak weekend dates (especially May through October), we recommend booking 4 to 6 weeks in advance. Bay Area outdoor events fill up quickly! For smaller orders or weekday gatherings, we can often confirm everything within 1 to 2 weeks. If your event is sooner, give us a call—we always try our best to accommodate last-minute bookings.

When you request a quote, we provide a transparent, all-in price with no surprise fees. Delivery, setup, and pickup are included for most orders within our standard service area. If your venue is outside our typical delivery zone, we’ll let you know the exact cost upfront so you can stay within your event budget.

Bay Area weather can be unpredictable. Our heavy-duty rental tents are engineered to handle wind and light rain. We also offer sidewall add-ons to fully enclose your space if a storm is forecasted. We monitor local weather leading up to your date and will coordinate with you if conditions look challenging—a sturdy tent is the best “weather insurance” for any outdoor party.

Yes, we make adjustments easy. You can add more folding chairs, change table sizes, or upgrade your tent size up to 7 days before your event (subject to inventory). To reduce your order without penalty, we simply ask for at least 14 days’ notice so we can update our schedule.

A great rule of thumb for seated events: for every 10 guests, you’ll need one 60-inch round table and 10 chairs.

  • 50 Guests: 5 round tables + 50 chairs.

  • 100 Guests: 10 round tables + 100 chairs. We always suggest ordering 5–10 extra chairs for last-minute additions. If you’re unsure about the layout, tell us your venue size and we’ll calculate the best fit for you.

A standard setup (tent, tables, and chairs) usually takes 1.5 to 3 hours. We coordinate a 2-hour delivery window with you—often the morning of your event or the day before for larger setups. We’ll also arrange a convenient pickup time for the following day.

For a one-time celebration, renting is far more cost-effective. Buying 100 chairs and a commercial-grade tent is expensive and requires significant storage space and transport. When you rent from us, you get high-quality professional gear delivered and taken away, saving you the hassle and the long-term cost.

Size depends on your guest count and layout (e.g., dance floor or buffet).

  • 20×20 Tent: Fits 40–50 guests with round tables.

  • 20×40 Tent: Ideal for 80–100 guests. If you’re adding a DJ booth or a stage, we recommend sizing up. Check our Packages Page for more details on tent dimensions and layouts.

We provide event equipment rentals across a wide stretch of the region, including San Jose, Santa Clara, Sunnyvale, Cupertino, Milpitas, Palo Alto, San Francisco, Redwood City, San Mateo, Campbell, Los Gatos, Saratoga, and Morgan Hill. If you don’t see your city, send us your zip code and we’ll confirm availability within hours.

We offer a full refund for cancellations made more than 14 days before the event. Cancellations between 7 and 14 days are eligible for a 50% refund or a free rescheduling credit. Within 7 days, bookings are non-refundable, but we will always work with you to find a new date if an emergency arises.

Absolutely. We take hygiene seriously. Every item is inspected and cleaned before leaving our facility. Linens are professionally laundered and pressed, while tables and chairs are wiped down and checked for structural integrity. We only deliver equipment we’d be proud to use at our own family gatherings.

We offer both! Most customers save time and money with our All-in-One Event Packages, which bundle tents, tables, chairs, and linens at a discounted rate. However, if you only need a few extra chairs or a single table, we are happy to provide individual rentals as well.

  • Frame Tents: Use a steel frame and have no center poles, making them perfect for concrete, patios, or driveways.

  • Pole Tents: Have classic high peaks and center poles but must be staked into grass or soft ground. For most Bay Area backyard parties, frame tents are the most popular choice due to their versatility.

Yes! There is no requirement to rent a full setup. Whether you need 20 chairs for a graduation or a few banquet tables for a potluck, we can help. We have a modest minimum order amount, which we will confirm during your quote request.
